CTC simplifies “Advance payment and refund of training fees” process

Recently, CTC’s “Advance payment and refund of training fee” process has been simplified from 7 steps to 4 steps, helping to speed up the registration process. For some courses with long duration and high cost, the process of “Advance payment and refund of training fees” will be replaced by employees signing a commitment to contribute training costs via salary if they do not meet the requirements of the course. These are some of the major changes by CTC after the last workshop called “Shine with BA WOW”.

One of the processes most of the FSOFTers participating in the internal course have to go through is the “Advance payment and refund of training fees” by CTC. With the new process, employees can actively participate and complete the course after being confirmed by the head of the unit. Admin staff of CTC who manage classes will not need to track and control the advance payment and refund and can use that time to focus more on the implementation of courses. AF will also eliminate the bank transfer history statement step for CTC.

Currently, the new process only consists of 4 steps. First, FSOFTers submit the commitment form. Then, CTC will update the commitment status and, at the end the course, make a report. Finally, if the committed training requirements are not met, FSOFTers will have the tuition fee deducted from their following month’s salary.

The newly adopted process will reduce the total processing time from 926 hours to 290 hours, which comes from the elimination of 3 steps in the process. FSOFTers will also have a better experience when participating in training courses and feel motivated to gain more knowledge and skills from available courses by CTC.

Ms. Tran Thi Thuy Hang (former employee of CTC) shared that the origin of the “Advance payment and refund of training fee” process was the high percentage of employees who registered but did not attend the course. CTC and related departments spent a lot of time and effort to organize the class, but only about half of the registered employees showed up. It would be a huge waste of money if the number of classes keeps increasing gradually.

When it comes to the old “Advance payment and refund training fee” process, when participating in each course, it took employees 10 minutes to transfer money to CTC, then it took the class admin 3 hours to request a bank transfer statement, check the status and remind students to deposit the training fee or confirm for each course. Given that, it will take 3 hours for AF to report the transfer history to CTC. The total number of hours for all parties involved to complete the advance payment and refund process in 2021 is 926 hours. Due to the cumbersome and time-consuming process, sometimes this is also the reason why employees changed their mind and did not register for training anymore.

It can be seen that FSOFTers have registered to participate in training courses with a serious learning spirit and very high commitment. Specifically, in 2021, 87% of employees meet the training commitment requirements and receive a refund. Now is the time to simplify this process for maximum convenience for learners.

As an employee who actively participates in training activities, Ms. Phan Khanh Chi (GAM.IVI) shared, “There are actually many courses that I want to join, but because the advance payment and refund procedures are quite complicated. Sometimes I feel discouraged and decide not to enroll in CTC’s classes and just find similar online courses. If this process is simplified, it will definitely help more employees like me to participate in training courses more”.

Ms. Le Thi Quynh Trang (CTC) shared, “During the working process, I see that there are many personal processes that have not been optimized, but sometimes I don’t feel like speaking up and I am just reluctant to change. BA WOW is the driving force that has helped CTC innovate and simplify the process. From there, it is possible to improve productivity and FSOFTer’s experience when participating in training activities, making us “love” the training more.
