Replace travel paper with “Business trip check-in” feature on myFPT

Travel paper is a document that is no longer strange to FSOFTers who go on domestic business trips often. However, the use of travel paper has significant limitations for employees as well as the SSC Onsite department. In response to the spirit of BA Wow, SSC Onsite team together with AF and iDX have changed the process of confirming employees’ domestic business trips from using travel paper to checking in on myFPT.

Every year, the SSC Onsite team needs to print and stamp more than 5,000 travel papers, equivalent to 60 MM/year. Employees need to receive a travel permit before going on a business trip and keep it with them during their trip and find the clerical department to apply for a confirmation stamp. After the end of each business trip, the employee has to return the travel document to SSC Onsite to confirm that he/she has arrived at the workplace according to the working schedule. This is also a mandatory document according to state regulations on payment of travel expenses.

Ms. Nguyen Thi Hoang Ha (SSC Onsite) shared, “Every year, there are more than 4,700 trips that need to be processed for travel papers. There is a lot of time and effort spent on processing travel papers. In the process of moving, it will inevitably lead to the loss and damage of documents. It is also time-consuming to process the paperwork for employees and SSC Onsite.

From this pain point, SSC Onsite, AF, and FHO iDX have collaborated to change the process of confirming employees’ domestic business journeys from using travel paper to checking in by location on myFPT ( Version 4.10.10). After logging in the ticket to go on a business trip on the TSS tool and getting approved by the head of the unit, when going on a business trip, now employees just need to open myFPT , select the Personal tab, and select the “Business trip check-in” feature. The application will automatically locate the employee’s location, check with the registered location of the business trip on the TSS tool and display the check-in result on the screen.

As an employee who often travels domestically, Ms. Bui Thi Phuong Thao (FHO.COF) expressed her joy at this new change. She said, “This change is an effective digital transformation case study of SSC. It streamlines the process, saves on printing and ink costs, and helps the company move toward a paperless office. Employees like me no longer have to worry about keeping the travel paper or finding a place to get it stamped like before.”

This is also an improvement of the BA WOW project, which is to improve the productivity of the BA block. In the third quarter, it is expected that many improvements will go live to bring a good experience for all FSOFT employees.
