Happy PM: Bring ‘first joy’ to FSOFT’s Project Managers on May 9
Starting from the pain-point that “The process of opening a new project takes up to 8 working days for the PM with about 400 items of information to be entered on more than 10 tools and many duplicated information that must be re-entered”, the Happy PM project organized by iDX – FST – FQC – SEPG alliance, has built OneGate – a tool on FI2.0, with the goal of making it the only access port to handle the project opening process, which can reduce 50% of the effort for PMs when they start a project (from 8 working days to 4 days, from 400 items to 200 items to enter on a single tool) by the end of 2022. The version 1.0 was released today (May 9) with promising initial results.
On the basis of current pain-points and project goals, over the past 1 month, Happy PM team has surveyed and collected requests from PMs – the main “customers” of the project – to get accurate insight for the product. After that, the team worked with related departments such as SEPG, FQC, BCC to agree upon a new process to ensure the criteria of efficiency, optimization, and compliance with the processes and quality control of FSOFT. At the same time, the project also cooperated with GST.STU to build a user-friendly UI/UX to bring “happiness” to FSOFT PMs when they use the Onegate tool.
Today (May 9,), OneGate tool version 1.0 has been released with 5 improvements:
- Menu: More logical and easier-to-use restructured menu
- Dashboard: Synthesize all the most important information on one screen to help PMs easily have an overview of the project and indicators, thereby linking to the detailed screens inside.
- Tailoring: PMs do not need to enter the current Tailoring information. Rather, they just need to choose from the available Tailoring list, which reduces the number of items to enter from 12 to 1..
- Deviation: Reduce the number of items to enter from 9 to 5.
- Risk: Reduce the number of items to enter from 26 to 14.

Ms. Tran Thi Cam Van (FHO.iDX) – BA of the project, said that the development team will listen to comments from users when using the Onegate tool in phase 1 to continue to improve in phase 2 to provide users with maximum support and convenience. Phase 2 is expected to launch in June with the following 4 highlights:
- Project Plan (PP) and Work Order (WO) will be uploaded to OneGate: PMs no longer have to work on files like right now. The review/approve process will also be done on the tool so PMs can easily track the status and history of PP and WO changes..
- All information from WO will be re-used for PP so PM do not need to re-enter it.
- Information from PP and WO will be re-used for other functions in FI 2.0: Project Infor, KPI, Risk, Resource Allocation, etc.
- Reduce the number of items of PP and WO information to enter from 151 to about 60.
The Happy PM project hopes that the implementation results of this release as well as the next releases will really “reduce the load” for the PMs and bring “happiness” to FSOFT’s project management team. As planned, in the next releases at the end of 2022, OneGate will help reduce the number of information items to enter when opening a project from 400 to 200 by automatically integrating all tools and related systems. The tool also supports the export of project documents and eliminates the re-entering of duplicated information and redundant information items, thereby reducing 50% of the effort of PMs when they start a new project (from 8 to 4 days).
