Journey to find solution to “Report to pitch” problem
“How to have a convincing report, knocking down superiors?” This is a topic shared by FSOFT CEO Pham Minh Tuan in the workshop “Pioneering flags – Innovation destiny” in August 2022, with the goal of “revolutionizing” reporting and presentation activities of the management department in particular and employees in general throughout FSOFT. Workshops take place in person at the F-Ville campus and online via Webex.
The workshop attracted the participation of nearly 400 FSOFTers, reaching 93/100 NPS points. Under the leadership of CEO Pham Minh Tuan, the main contents mentioned include distinguishing Reporting and Pitching, common prejudices and problems, and methods – reporting techniques. In particular, identifying the audience and what they want to capture is the most important part to have a true, sufficient and convincing report.
In essence, Reporting and Pitching are often confused because they are both used to report to leaders or groups of people involved. The two types share the same main points, supporting points effectively attract and reduce the listener’s impatience. However, Reporting is used many times, reporting events that have happened, andzPitching is usually used only once with the goal of creating curiosity and excitement for listeners. Thus, it can be understood that “Report to pitch” is an activity through reporting to integrate assessment and directions and next actions to achieve the set goals.

According to Mr. Tuan, the common problems in Reporting can be mentioned such as reporting excess data, using a lot of information but lacking a final conclusion, and trying to say detailed things for fear that listeners won’t understand, etc. On the contrary, the information should be filtered when it is included in the report and presentation. The number of slides used should be minimized according to the rule: “Each slide always delivers important messages”. Building stories around the report will also help listeners remember it longer.
At the heart of the workshop, CEO Pham Minh Tuan shared about the approach system and the art of presenting content for FSOFTers. First of all, the reporter needs to prepare a 4W2H questionnaire system to determine the audience/stakeholder group, content, needs, and wants of those objects. Next, in the report, there must be 3H: Heart – Head – Hand, from the message that touches the heart, stays in the listener’s thoughts and prompts for actual action. The main points always have sentences accompanying stories to help listeners remember.
In addition, the report should also start with a conclusion. During the presentation, depending on the listener’s attitude, the reporter can move to other conclusions or continue to present details. Besides, a Report should only contain 3-5 issues, if more, it will be difficult for listeners to remember and maintain focus.
