The lively X-Share webinar discussed effective strategies for implementing X-Jobs

On October 24th, the X-Share webinar titled “Effective Project Management with X-Jobs” attracted nearly 200 FSOFTers on Microsoft Teams. It provided valuable insights on effectively implementing and managing X-Jobs resources in projects for PMs and project team leaders nationwide.

The program began with speaker Nguyễn Thị Phương Thuỳ (FHM.EMU), who gave an overview of the criteria for projects suitable for using X-Jobs, along with the latest terms and processes. According to Thuỳ, X-Men are eligible to participate in X-Jobs if they are P3 or higher, with a monthly performance rating of B or above. For PMs and team leads, the direct margin index is considered. Thuỳ also highlighted the benefits of PMs turning to X-Jobs projects, such as quickly and flexibly supplementing resources with rare and difficult skills. Additionally, applying X-Jobs helps improve margin indices and increase productivity by optimizing project resources. Thuỳ emphasized that every project should have a contingency plan for resources to avoid missing opportunities with clients, and X-Jobs is a powerful tool for quickly mobilizing personnel when needed.

Following Thuỳ’s presentation, speaker Mai Đức Trung, Vice BUL FI.MS3, added perspectives on the role of increasing project productivity and income for personnel participating in X-Jobs. According to Trung, there are two factors that help increase productivity for X-Jobs projects: first, selecting members with experience suitable for the project, and second, ensuring and committing to the output from X-Jobs members.

Trung noted that X-Jobs is an optimal way to fulfill rare personnel needs with good language skills (e.g., BA Japanese/Korean, Technical Leader, Developer with good English) and that the time to find personnel on X-Jobs is usually under 5 days, which is much faster compared to traditional recruitment sources.

Speaker Đỗ Hồng Điệp (FHN DXT) shared criteria for selecting X-Men for X-Jobs projects, attracting interest and questions from attendees. Điệp stated that priority is given to X-Jobs candidates with good language skills, suitable working hours, a workload of 70%, and rare skills such as Salesforce, Outsystems, BA, along with a commitment to accompany the project through its stages. Điệp also revealed how to choose independent, low-priority tasks to avoid risks and be suitable for X-Jobs. Điệp shared the view that X-Jobs personnel should not work for more than 3 months before needing renewal.

Speaker Dương Xuân Vinh (FHN.GIS) completed the webinar content by guiding monitoring when introducing X-Jobs into projects from start to finish. Vinh suggested that projects should have an onboarding process, an important factor for new X-Jobs members to follow the general regulations of the project and clients. To control risks or manage project progress, the ODC Lead of FHN.GIS prioritizes micromanagement in the early stages of joining the project and close tracking to grasp progress through daily or frequent meetings with X-Men.

According to Vinh, regular tracking and continuous connection with project members will help control the quality of X-Jobs output. A challenge that PMs may face with X-Jobs is how to connect and teamwork when members do not sit together with the team to run the project smoothly. At the webinar, Vinh shared ways to connect personnel and motivate members by praising individuals with outstanding work results, sending gift vouchers, or arranging common working days for the whole team. Additionally, happy hours or team-building events can be organized if the entire project team and X-Men are at the same site.

The webinar attracted attention with nearly 30 questions sent before and during the program. The questions revolved around concerns about the workload of X-Jobs personnel, how to manage X-Jobs output, and tips for connecting X-Jobs members with the project’s main personnel.

Through the webinar, FSOFTers not only gained useful information about X-Jobs and effective resource management but also had the opportunity to interact with speakers and receive attractive gifts at the end of the program.
